Job Description:
Medacles Ltd is seeking a highly experienced and organized a junior Treatment Coordinator/Receptionist to join our busy and vibrant team in central London. In this role, you will be responsible for a range of administrative duties for both CosmeDocs and the Harley Street Institute. You will work closely with patients and clinicians to ensure their safety, satisfaction, and visible results. As the first point of contact for clients, we expect you to maintain a professional appearance and provide exceptional customer service.

This is an in-office role, and working from home is not available.
Duties & Responsibilities:
- Answer phone calls and respond to patient inquiries promptly, providing accurate information and assistance.
- Manage social media queries and engage with potential clients in a professional and helpful manner.
- Input new patient details, update records, and maintain precise attention to detail while entering data into the clinic system.
- Handle correspondence and telephone inquiries as directed by the clinic management.
- Maintain and file accurate records, ensuring proper organization and confidentiality.
- Monitor stationery and stock levels, restocking as necessary to ensure smooth operations.
- Manage the ordering process for medical and clinic supplies, ensuring an adequate supply at all times.
- Assemble patient files and ensure that patient lists are printed and prepared for the following day, retrieving patient notes from filing as required.
- Schedule patient appointments and procedures within the clinic booking system, providing excellent service via telephone and email.
- Open and organize training/model slots in the booking system for the Harley Street Institute.
- Occasionally assist with content writing tasks, such as newsletters, on an ad hoc basis.
- Handle the patient complaints and compliments process, proactively seeking and responding to feedback from patients and staff.
Requirements:
- Previous experience in a similar administrative or client coordination role within the medical or aesthetic industry is highly preferred.
- Excellent communication skills, both verbal and written, with the ability to interact professionally with patients and colleagues.
- Strong organizational skills and attention to detail to ensure accurate data entry and efficient record management.
- Proficient in using computer systems and software, including clinic booking systems and Microsoft Office applications.
- Ability to work well under pressure, multitask, and prioritize tasks effectively in a fast-paced environment.
- Professional demeanor and appearance, consistently providing exceptional customer service.
- Proactive and adaptable attitude, willing to take on additional responsibilities as needed.
Remuneration:
We offer a competitive salary based on experience and qualifications, along with comprehensive benefits and opportunities for professional growth within our expanding organization. Salary range £22,000-24,000
